Understanding Roles and Permissions

This article describes the three DiscountFlow roles — Member, Approver, and Administrator — and provides a full permissions reference for what each role can see and do.

Every team member in DiscountFlow is assigned one of three roles: Member, Approver, or Administrator. The role determines what a person can see and do within your organization's workspace.

Member

The Member role is for team members whose primary function is submitting requests — typically sales reps or account managers who need discount approvals for their deals.

Members can create and manage their own requests through the full draft-to-submission lifecycle. They can view the product catalog to build their requests, receive notifications about their own submissions, and export approved requests. They cannot see requests submitted by other team members and have no access to administrative settings.

Approver

The Approver role is for team members who review and act on requests — typically sales managers, finance leads, or others in a sign-off capacity.

Approvers have all the capabilities of a Member, plus the ability to see all requests in the organization and to approve or deny requests at the approval levels they're assigned to. They do not have access to administrative settings or team management.

Administrator

The Administrator role is for team members who own the configuration and operations of the DiscountFlow workspace. Administrators have unrestricted access to everything in the platform.

Most organizations need only one or two Administrators — typically whoever is responsible for setting up and maintaining the workflow configuration and managing team access. Adding people as Administrators who don't need that access creates unnecessary exposure to configuration changes.

Changing a Role

Roles can be changed at any time by an Administrator without removing and re-inviting the team member. The change takes effect immediately.

The First Administrator

The person who creates an organization is automatically assigned the Administrator role. At least one Administrator must remain in the organization at all times — DiscountFlow will prevent you from removing or downgrading the last Administrator.
