Archiving a Request
Move a completed or inactive request to the archive.
Archiving removes a request from the active list pages and stores it in the Archived Requests section for long-term reference. Unlike deletion, archiving is reversible — archived requests can still be viewed and their details remain intact.
Who can archive requests
Archiving requires the archive requests permission. Users without this permission will not see the Archive option in the actions menu.
What can be archived
A request can be archived if it has been submitted (i.e., it is not a draft) and has not already been archived. Drafts cannot be archived — they can only be deleted.
How to archive a request
- Go to any request list page (Active Requests, Approved Requests, or Denied Requests).
- Click the three-dot actions menu (⋮) in the request's row.
- Select Archive Request.
- Confirm when prompted.
The request is removed from the current list and moved to Archived Requests.
Accessing archived requests
Click Archived Requests in the sidebar. This page is only visible to users with the archive permission.
Archived requests are read-only. You can view all request details but cannot edit, approve, deny, or re-submit an archived request.
Difference between archiving and deleting
| Archive | Delete | |
|---|---|---|
| Request data retained | Yes | No |
| Accessible after action | Yes, in Archived Requests | No |
| Reversible | Not from the UI — data persists but status is locked | No |
| Requires permission | archive requests | delete requests |
Use archiving for requests you want to keep for historical reference. Use deletion only when you want to permanently remove a request.
